Frequently Asked Questions (FAQ)
What is ZUGFeRD and what are the differences?
ZUGFeRD is a hybrid format for e-invoices. It consists of a PDF file for human readability and an embedded XML file for machine processing. Factur-X is the international equivalent. Differences exist mainly in the profiles (BASIC, COMFORT, EXTENDED), which define the scope of the included data fields.
Why is no XML found in the PDF?
Not every PDF is an e-invoice. A ZUGFeRD invoice must contain a special XML file (usually factur-x.xml or zugferd-invoice.xml) as an attachment. If this is missing or the PDF was modified after export, our tool cannot extract any data.
Important Technical Terms (EN 16931, CIUS, Profile)
EN 16931: The European standard for e-invoices.
CIUS: Specifications for specific application contexts (e.g. XRechnung).
Profile: Defines which data fields (e.g. only totals or detailed items) are mandatory.
Who needs ZUGFeRD? (Legal Background)
As of January 1, 2025, companies in Germany must be able to receive and process e‑invoices in B2B. Mandatory issuance will be phased in (e.g., 2027/2028 depending on company size). Across the EU, timelines vary by country (as of 02/2026):
• Italy: mandatory B2B e‑invoicing since 2019.
• France: nationwide B2B mandate postponed; phased start planned from 2026/2027.
• Poland (KSeF): rollout postponed; nationwide mandate planned no earlier than 2026.
• Romania (RO e‑Factura): largely mandatory for domestic B2B since 2024.
• Spain: preparations underway (e.g., Verifactu), phased rollout expected from 2025/2026.
• Belgium: mandatory B2B e‑invoicing foreseen from 2026.
Please check the latest status in your country, as timelines may change.
What is the difference between ZUGFeRD and XRechnung?
The XRechnung is a purely machine-readable XML format that is mandatory primarily in the government environment (B2G). ZUGFeRD, on the other hand, is a hybrid format (PDF + XML) and widely used in the private sector (B2B).
